Harp’s admissions pipeline takes an event from “applications open” to “every applicant notified” without leaving the platform.

Configurable applications

Application sections, fields, and validation rules are stored as a dynamic schema, so each event designs its own form from the admin UI. Changing a question doesn’t require a code change or a redeploy.

Review pipeline

  • Batch assignment distributes applications across reviewers automatically, balancing workload.
  • Reviewers cast structured votes and leave notes. Each application receives a configurable number of reviews.
  • Admins see searchable applicant records, application statistics, and completed-review history.
  • An AI-usage metric flags applications with suspected AI-written responses to help reviewers calibrate.

Decisions and notification

  • Admins move applicants between accepted, rejected, and waitlisted states.
  • Bulk decision emails deliver status notifications to whole cohorts at once, with delivery progress tracking.
  • Email branding (event name, contact address) follows the runtime hackathon settings.

Walk-ins

On event day, a first-in-first-out walk-in queue manages unregistered attendees and promotes them into the event as capacity allows.
